Millcreek Board members take care of business at a whirlwind meeting

Rotary Club of Millcreek Board meeting: January 26, 2012

In attendance: President Megan Dunn, Vice President Laurie Summers-Pisani, Treasurer Ken Klingler, Secretary Christine Casper, Community Service Chair Miriam Kramer, Vocational Service Chair Laura Rogers, Youth Service Chair Ladd Tanner, Club Service Chair Annie Nielsen, RC Millcreek Rotarian Susan Brown, Guests:  RC Palo Alto Rotarian Mary Qian, and Kim Williams, potential club member.

RC Millcreek Rotarian and Special Rep of the District Governor Judy Zone presided as there were many club formation issues to be addressed.

Club Secretary Christine will develop a membership roster with full contact information, including mailing address, birthdates, spouse or significant other name (as applicable) before our March business meetings. She will also make sure all members are current on the RI website.

President Megan will appoint a membership chair as soon as possible who will handle the details of accepting new members. In the meantime, potential club members can get the membership application and financial responsibilities document from Megan, bring them to the meetings with a check for $105 (which covers one quarter of membership due + the initial RI ‘sign-up’ charge of $15). Potential members can also mail in these documents. Club P.O. Box is now on the blog. All members should also have these materials soft copy in their records to recruit members. Megan will send them out to members.

Treasurer Ken will present a ledger bank statement showing transaction in and out of our checking account at the second business meeting of each month. He will send the information soft copy to the Board at least two days before this meeting. Ken is responsible for letting the Board know when a member has not paid dues.

Our Chartering Dinner is a huge success, propelling us to service and fellowship!

January 19, 2012. What a night! On this particular Thursday evening, the Rotary Club of Millcreek had a blow out party with over 80 people to celebrate their charter from Rotary International. 28 members were present. 5 members could not make it. Many members brought soon-to-be-members to check out the festivities and pick up applications!
Rotarians from Salt Lake Club (President Colleen Malouf, President Nominee John Pace, State Legislator Patrice Arent), Park City Sunrise Club (President Ken Barfield), Hispano-Latino Club (President Alicia Gomez, Past President Martha Velasco, and President Elect Mabel Langford), and of course, our sponsoring club of Sugar House Rotary (President Ennis Gibbs, Past Presidents Therese Milad, and E. J. Passey) were there to cheer us on.
District Governor Rick Cambra presented our Charter from Rotary International, and Assistant Governor Bev Christy helped pass out pins to the new and re-upping Rotarians. Many thanks to Past District Governor Ralph Montgomery and his wife Shirley for joining us in our celebrations. Also, we were thrilled to have visiting Watertown, Wisconsin Rotarians Josh and Sandee Macht come to the party and give Charter President Megan Dunn our very first club flag!

Members and guests enjoyed the social hour at the Cottonwood Country Club, with piano accompaniment by Rotaracter Andrew Olsen. We also cannot thank enough the Salt Lake Rotaracters who manned our Registration table. A special shout out to Rotaract President Jerika Michel, who also called an entire roster of Utah Rotary leadership in advance of our event.

Centerville Farmington Rotarian Bruce Powell did more than come to the dinner, he also (in his typical Service Above Self way) picked up the monks from the Theravadan Buddhist Temple in Layton who gave our invocation and chanted their best wishes for our self-discipline, service to humanity, and generosity.

Mark your calendars, members!

Rotary International (RI) – HQ - Evanston, IL, founded 1905. Paid staff support Rotary Foundation, zones (group of districts), districts (~ 2,000 Rotarians) and ~35,000 clubs and 1.22 million Rotarians in 170 countries. President – Kalyan Banerjee. RI has been driving force behind eradicating polio worldwide with partners. PAIN countries still endemic.

Utah Rotary – District 5420 – began 1911, entire state of Utah - 47 clubs and ~ 1,700 members. Millcreek is newest club. District Governor - Rick Cambra. District Governor-elect - Jerry Summerhays. Volunteer “staff” support clubs through committees - membership, training, PR, foundation/ grants, youth programs, etc.

Upcoming Training & Event

1. PETS – President-elect Training Seminar – Feb 24 – 25, Provo

For Presidents-elect (Megan) and President-elect Nominees (TBD). How to run a club, KEY RI requirements, conduct strategic planning, meet club goals, and support/ resources from District.

Plans for Chartering Dinner: Thursday, Jan. 19, 6:15pm at the Cottonwood Club.

  1. All club members should arrive around 5:45pm for a run through of our ‘pinning’ ceremony.
  2. Rotaracters will be calling District leadership to attend and will arrive at 5:45pm to set up check-in/payment table.
  3. $20 per member, $25 per guest. RSVP immediately megan@xmission.com
  4. Christine will do name tags based on rsvps.
  5. Laurie will do the Commemorative Program for the evening, and has secured a pianist for background music during the social hour.
  6. Peter has found a Buddhist monk in Layton who will do our invocation, but as this blog is posted, we still need someone to pick him up and bring him to the event.
  7. Megan is looking into an ROTC color guard, or we need someone to sing the National Anthem or America the Beautiful.
  8. Judy will welcome everyone, thank everyone, recognize District leadership in attendance, ask Rotaracters and Interactors to stand, review the Program, present the gong and start the proceedings.
  9. District Governor Rick Cambra has 10 minutes for remarks, and then will present Charter members with our Rotary pins.
  10. Sugar House Rotary President Ennis Gibbs, of our sponsoring club, will present a gift, and has 3-5 minutes for remarks.
  11. Charter President Megan Dunn will make closing remarks and thank yous.
Upcoming Events:

  1. Don’t forget to save all pull off tops from cans (soda, beer, soup, etc.) to give to our Interactors for a fundraiser they are doing.
  2. Miriam, Laura, Laurie are working with Bhutanese women to plan literacy lessons, computer training. Stay tuned for information about our January service project (sometime the end of this month).
    • Peter has suggested that we might interface with ESL instructors at Westminster for help in communicating.
  3. We will partner with Salt Lake based Rotaract for a Speed Mentoring Event in mid-March, date TBA.
    • Millcreek Rotarians will be asked to outline their career activities in a brief bulleted way.
  4. Also, Rotaracters are holding a Central American Dinner Fundraiser and Auction-- Friday, February 24th at 7:00 pm Delicious Central American food made by Rotaractors. The funds will support our local and international service projects. We will also be auctioning off our skills and talents. For example, a photo shoot, piano lessons, tutoring, etc…
  5. Sugar House Rotary Club (our sponsoring club) hosts the Chili Open Dinner at the Grand America Friday, January 27, silent auction starts at 5pm. $75 p/p raises funds for local charities. Ask Megan megan@xmission.com for more information.

  • Megan Dunn, President, opened the meeting appointing Jason Collier as protem Sergeant at Arms.

  • Members - Action Needed: Megan is working on the Bylaws and Constitution. Members will receive these documents this week via e-mail. Please review and let Megan know if you have any edits. The documents will show the non-traditional nature of our club and a meeting format of 2 business meetings/one service project and one social each month.

  • Laurie Pisane and Christine Casper provided an update on the Charter Dinner. Please remember to RSVP to the evite.

  • Laurie reviewed the menu. The club agreed to post food as vegetarian and non-vegetarian and to ensure vegetarian dishes are offered.

  • Attendees can pay in advance by check to PO Box 590, Sandy, UT 84091-0590 (the evite will be updated to include this information). Cost is $20/members, $25/guests

  • The social and program will start at 6:15, with dinner buffet at 7.

  • Laurie is working on a harpist to play for the event. Megan will follow -up with a Buddhist Monk regarding the invocation. The Club agreed to offer invocations at events ensuring we represent international communities and cultures to which we are providing service. Other details will be planned through the members on the Charter Dinner Team.

  • Megan reported several clubs have asked about gifts for our Charter Dinner. Members agreed cash or gift certificates are best as we create our own banner and decide on a permanent meeting place. The Club liked the idea of a 4-way test banner as one of the gits.

  • The update on banners and gifts led to a discussion on providing education at our Club Meetings on general Rotarian information. Susan Marks agreed to look at Rotary University and come up with ideas for 5 minute segments that can be taught during Club Meetings. All in attendance agreed education on 4 way test and other foundational items is key.

  • Announcements- Laurie Pizzone volunteered to attend Sugarhouse Rotary next Thursday at noon to provide a formal invitation to our Charter Dinner.

  • Attendance at Charter Dinner will improve if personal calls are placed to District Leaders, etc. Attendance at this event is essential. Annie, Peter, Jason, Sonia and Lauara volunteered to make outreach calls to improve attendance.

  • Sonia provided an Interact update - The students loved the Bhutanese event and want to attend other projects.

  • Please save your pop can tabs and other canned food flip tabs etc for the Ronald McDonald House. Sonia will collect the tabs at meetings and take to the Interact group for donation.

  • Miriam reminded us of Career Night on March 19 with Interact. Please plan to attend if you can. The format will be speed dating and the students will have a few minutes with each of us to interact on careers.

  • Susan requested agenda items for next week - district training, etc.

  • Megan shared our first official card for our club - the Rotractors sent a Christmas card.

  • Ken reported we made money at the Bhutanese luncheon. The money will be used for other projects.

  • Marlin volunteered SLCC's Redwood Campus for our meeting on January 12. Details will be confirmed early next week.

  • Jason fined as follows: Ken - $3 for phone going off, John and Judy Zone for not being at the meeting - $20/couple
