Business Meeting Minutes August 8, 2019

Business items:
1.       Call to order
2.       Wine into Water Committee Updates:
a.       Task – Tents have been identified
b.       Beverage – Wine educators lined-up
c.       RSVP – Please do your part in getting the word out to friend, family, co-workers, acquaintances, etc.  Use social media, direct emails, etc.  Each member needs to get people to show!
d.       Promotion – Encourage the use of social media to get the message out – Pearl is happy to help with image sizing for the various tools (Facebook, etc, etc)
e.       Check-in – No update
f.        Food – Please plate your food and bring serving utensils so food is ready to serve upon arrival at the Aviary
g.       Entertainment – Frank is working on a lead, hoping to get a commitment by 8/12.
h.       Volunteers – Dave V. and Justin will recruit Youthlinc-ers, and Dave V. will manage them at the event
i.         Opportunity Drawing – Please consider if you have items that would be attractive in a gift basket.  Please bring them to the next business meeting.  Wine too!
Our theme this year is “World-Wide Wines”

1.       Jayne reported-out on the past year’s numbers:
a.       15 service projects
                                                                     i.      Top 3 categories of projects: Food insecurity, refugees, disadvantaged women and children
b.       12 avg members participated
c.       $10,348 – value of member’s time donated
d.       $4,233 – in-kind or cash donations by members
2.       Jayne reported our club earned a 2018-2019 Rotary Citation with Presidential Distinction!

Business Meeting

Minutes of July 17, 2019 5:30pm meeting at Beaumont Café

In attendance: Joe Ballsteadt, Jayne Barnett (Past President presiding), Rose Defa, Marty Gelman, John Hagland, Julie Jones, Susan Marks, Shannon Tilly, Erica Wolff, John Zone, Judy Zone

Guests: Doug Stelsing, Joe Ballsteadt’s sons

Announcements: Wine into Water is September 19, 2019 5:30-8:30pm at Tracy Aviary. Please be thinking of guests to invite and please remember and move forward on your event responsibilities. Check your email for updates.

Discussion:
1.       Susan Marks: Should we possibly partner with the Lion’s Club on a Millcreek Fourth of July celebration next year? Those assembled seemed open to the idea. Julie Jones might have a Lion’s Club contact.
2.       Judy Zone, who will be District Governor in 2021-2022, reminded members that the DG’s club is responsible for organizing District Conference in May of the Rotary Year. So Millcreek’s District Conference would be May 2022.
Judy said she has some initial thoughts but is open to ideas:
·         She’d like the Convention to happen somewhere in Millcreek – but is there a facility that can accommodate 200-250 people with possible breakouts? Please be thinking about that.
·         She would like this Convention to be an opportunity for the club to partner with Millcreek businesses and organizations, to raise the profile of our club and possibly attract new members through their involvement with the event.
·         She would like to have a service project, possibly with Millcreek Promise and/or Sunnyvale Center – or others – as a focus of the Convention.
·         She would like speakers on social issues – similar to what Scott Leckman did in May 2019. The issues can be linked to Rotary topics or causes, but not more lecture on Rotary programs directly.  High profile speakers are a draw, so be thinking.
·         Shannon offered to organize a hike in Millcreek Canyon on Saturday or Sunday morning. Most likely Sunday, as Saturday is a full day for District Conference, and most people ‘dress up’ for District Conference.
Judy also wants club members to be thinking if they would like to be involved in District positions, as they are available that year.

Other Business items:
1.       Wine Into Water Date 2019 will be Thursday, September 19th, 5:30-8:00 p.m.  Grant opportunity:  Help Midvale Rotary Club with their Uganda project. 
Much of the 20 June meeting was spent planning the Wine Into Water event.  Some key discussions:
a.       The event theme will be “Harnessing Water for Sustainable Life”, and the wine theme will be “Worldwide Wines”.
b.       It was suggested that each member of our club buy a number of tickets to WiW up-front, then sell or give them to friends/family/associates.  We settled on 4 tickets/member as the minimum expectation (so each member is requested to purchase a minimum of 4 tickets to sell or give away).  Of course, if you want to buy 20 tickets, more power to ya!  😊
c.       We’ll have an opportunity drawing for gift baskets to raise additional funds.  So please bring (donate) some nice wines to business meetings from here forward!  Ronda will be collecting them.
d.       We’ll shoot to match last year’s attendance: 220 people.
e.       Ticket price will remain unchanged from last year ($60/person).
f.        We’ll order about the same amount of food from UT Food Services, and supplement that with home cooking by our members.  We’ll need 15 people to each bring a dish for 50 guests.  If you feel motivated to bring food, please coordinate with Erica.
g.       Committee chairpersons were assigned to members at the meeting (including tacit assignments for members not in attendance – it takes a village!).  Someone will be in touch with you if you’ve been assigned a chair position):

2.       Committee Updates:
a.       Service – Rose – Hope Lodge – Thursday, June 27th, 5:00 p.m. if you need to cook/prep.  Dinner will be served from 6:00 – 8:00 p.m.  375 E. 100 South, SLC.  Please wear your RCMC T-Shirt!!!
b.       Social – Shannon/Erica – June 15th - Hike in Millcreek Canyon.  Meet at Shannon’s house at 7:30 a.m. (continental breakfast), 3584 E. 3800 South, SLC. Park in the street in front of Shannon’s house – the “No Parking” signs were put up so no one else will park there! 😊
c.       Membership – Jane is working on a few potential members. 
d.       Treasurer – Tim – Everything’s good. 

Other Business items:
1.       District Grant – The 1st Lego League at Millcreek Elementary School – An after-school program that involves the use of computers, robotics and basic engineering.  Our budget for the project will be ~$1800-$2000.
2.       Committee Positions for 2019/2020 – Jayne said we should “get involved!”
3.       Optional service project – Julie Jones – Diaper Drive.  Our club will donate $500. Project is collecting diapers, wipes and baby formula to help transition people out of homelessness.  If you want to make a personnel contribution of goods, please bring them to Shannon’s on June 15th (the day of the hike).
4.       2019/2020 Installation Dinner – August 8th at Café Niche – details to follow.
5.       Wine in to Water Date 2019 will be Thursday, September 19th.  Grant opportunity:  Help Midvale Rotary Club with their Uganda project.
6.       May Polio Pig total: $158.77.
